WHO WE ARE:

Victoria State Emergency Service (VICSES) is a volunteer based emergency service. Our highly skilled and equipped Volunteers are trained comprehensively in a wide range of emergency environments. To minimise the impact of emergencies when they occur and strengthen the community's capacity to recover swiftly and safely, VICSES focuses on working with communities and partners in building resilience to achieve more aware, informed and prepared communities. We support them to understand their risk and the relevance of taking action before, during and after emergency events.

As the largest road rescue network in Australia we have specialist teams that provide a 24/7 response to road accident and trauma incidents. We assist Victoria Police in search and rescue operations, and play an important role in supporting the Country Fire Authority (CFA), Fire Rescue Victoria (FRV), Parks Victoria and the Department of Environment, Land, Water and Planning (DELWP) during major bushfire and emergency incidents.

ROLE SUMMARY:

This position is responsible for providing support and administrative assistance related to the required outcomes of the Region, including support to volunteer Units and Regional staff.

This position is based out of the North West Office – Swan Hill and will work 25 hours per week over 5 days.

The position being offered is a VPS 2.2, Part Time, Fixed Term, Up to 31 January 2022. During this time, VICSES are anticipating a reorganisation which could impact and change this position.

ACCOUNTABILITIES:

Enhance the ability of the Region to meet its operational requirements by responding to and providing efficient and effective administrative support including the drafting of correspondence, minute taking, filing within Content Manager, effectively undertaking reception duties and referring all requests and issues in a timely manner and ensure all issues are tracked and followed.

Contribute to the Region's professional service delivery standards by monitoring and administering the purchasing of resource requirements for the work areas and the administration at the Region of all aspects of volunteer membership applications and Long Service Award eligibility ensuring that the applications are accurate and provided to the Awards Committee for review within the nominated timeframe.

Contribute to the Region's ability to provide an appropriate response capacity by working with the Units to maintain RMS and IMS by ensuring the updating of Regional operational data and statistics to ensure completeness, accuracy and currency of information, and reporting and responding to enquiries from State Headquarters.

Support the business directions of the Region by maintaining budget records and ensure the prompt processing of regional accounts, corporate cards, BAS statements and other returns in accordance with VICSES guidelines and by co-ordinating Unit returns when required.

Coordinate facilitate and assist in the capture, ongoing control and eventual disposal of regional records in accordance with policies, procedures and guidelines.
